Sing Out Choir respects the privacy of everyone who sings with us, supports us, attends an event or visits our website. We are a community choir for people living with dementia and other disabilities, their carers, family, friends and volunteer singers. This policy explains the personal information we collect, why we use it, who may receive it and how to contact us about it.
Information we collect
Depending on how you interact with us, we may collect your name, contact details, enquiry or event registration details, donation information, volunteering or sponsorship interests, and correspondence with us. If you join choir activities, we may also collect an emergency contact and information you choose to provide about accessibility, dietary needs, health or support requirements that helps us plan your participation safely and inclusively. We ask only for information relevant to that purpose.
We may collect photographs, audio or video at choir activities and events. We seek separate permission before using identifiable images or recordings in our publicity, as explained below.
Our website and its service providers may collect technical information such as your IP address, device and browser information, pages visited and cookie data when you use the site. Payment details entered into an online donation or event payment process are handled by the relevant payment provider; we may receive transaction and receipt details, but we do not need your full card number to administer your donation.
How we collect and use information
We usually collect information directly from you when you contact us, register, donate, volunteer, attend an event or complete a form. A carer, family member or authorised representative may give us information on a participant’s behalf. We may also receive information from an event or payment service used to complete your request.
We use information to respond to enquiries; organise choir sessions, events and participation; make appropriate accessibility and support arrangements; manage volunteers, donations, receipts and sponsorship; communicate with people who have asked to hear from us; keep appropriate records; and protect the safety of participants and others. If information needed for a particular request is not provided, we may be unable to complete that request or make a specific arrangement. You may make a general enquiry without giving us more information than we need to reply.
Health and disability information is particularly sensitive. We use it only for the purpose for which it was provided, or another permitted purpose, and limit access to people who need it to support the participant. We do not publish a person’s diagnosis or support needs as part of a choir story or image without specific permission.
Consent and choice
We explain what we are asking for in a way the person can understand and give them time and support to choose. A diagnosis alone does not mean a person cannot decide for themselves. Where another person acts on a participant’s behalf, we ask that they have authority to do so and take the participant’s wishes into account. We respect a participant’s objection to being photographed or featured, even if someone else has previously given permission.
You can withdraw consent by contacting us. Withdrawal does not undo a use that has already occurred, and we may not be able to retrieve material already shared, printed or copied by others. We will stop future uses within our control and consider reasonable requests to remove material from channels we control.
Photos, recordings and stories
We may photograph or record choir sessions and events for internal records. We ask for a separate, optional choice before publishing an identifiable person’s photo, voice, video, name or personal story on our website, social media, newsletters, printed materials, fundraising or publicity. Public material may be viewed, shared or stored by others, including outside Australia. You can participate in the choir without agreeing to publicity. Please tell an organiser if you do not wish to be photographed or if you change your mind.
At public events, others, including guests or media, may take their own photographs. We will explain any planned media coverage where practicable and help you avoid being featured in choir-controlled material if you ask.
When we share information
We may share relevant information with choir staff and volunteers, event partners, contractors and providers who help us operate the website, manage enquiries or registrations, process payments, send communications or store records. We limit what they receive to what is needed for their role. We may also disclose information with your permission, or where required or permitted by law or needed to address a serious safety concern.
Our website and some online services may store or process information outside Australia. The location depends on the services and settings in use. If you would like details about a particular service involved in your information, please contact us before submitting it.
Email updates and cookies
If you choose to receive choir news or fundraising updates, you can unsubscribe using the link in a message or by contacting us. We may still send messages needed to respond to your enquiry or administer a registration, donation or participation.
Our website uses cookies and similar technology to operate its features and may use them to understand site traffic if analytics are enabled. You can manage cookies through your browser settings. Some site features may not work as intended if essential cookies are blocked. If we add optional advertising or tracking tools, we will update this notice and any consent settings before using them.
Security and retention
We take reasonable steps to protect personal information from loss, misuse and unauthorised access, including limiting access to people who need it. No internet transmission or storage system is completely secure. We keep information only for as long as reasonably needed for its purpose and any legal or recordkeeping requirements, then securely delete or de-identify it where practicable.
Access, correction and concerns
You can ask what personal information we hold about you, request a correction, change your communication preferences or raise a privacy concern by emailing anne@singoutchoir.com.au. You may also call Anne Gemmell on 0401 944 387. We may need to verify your identity or authority before releasing another person’s information. We will consider your request and respond within a reasonable time. If you are unhappy with our response and the Privacy Act applies to the matter, you may be able to complain to the Office of the Australian Information Commissioner at oaic.gov.au.
We may update this policy when our activities, website tools or legal obligations change. The latest version will be posted on this page.
